Position Objective:

Oversight responsibility for AAF International Corporate mail room, office supplies stockroom, and liaison with Fenley Property Management. Provides general support to the corporate Human Resources team.


Key Accountabilities:

  • Provides administrative and clerical support to the Human Resources department, such as filing, coordinating events, etc.
  • Oversees mailroom, company records, office supplies stockroom, movement of leased and company-owned vehicles and facilities needs and ensures accurate and timely execution of these services.
  • Maintains adequate inventory levels of routine office supplies, non-standard supplies and equipment, and orders custom letterhead, envelopes and forms.
  • Selects and purchases non-stock office supplies, furniture and non-IT equipment based on cost and functionality.
  • Reconciles weekly AMEX and P-Card expenditures for items above.
  • Develops and manages budget for the department and allocates funds within the budget. Monitors budget variances.
  • Directs internal moves of office furniture and equipment, including hiring extra personnel to assist in completion of the moves in a timely manner with minimum interruption of daily office activities.
  • Performs minor maintenance and repair to company-owned equipment and arranges for landlord or outside repair service on more complex problems.
  • Supervises shipping and receiving of mail, supplies and equipment to administration building.
  • Orders business cards for new hires or personnel in new position requiring cards.
  • Performs other related duties as assigned or requested.
Requirements

Position Requirements:

  1. High School diploma;
  2. Impeccable character and ability to maintain confidentiality;
  3. Valid Driver's license;
  4. Three (3) years of office or facilities management;
  5. Proficiency with Microsoft Office Suite.
