As Executive Assistant for both our Managing Partner and Partner of JLL Spark Global Ventures, You'll play a key role in the successful growth of our technology startup investment business. You will be collaborating across the team and organization to provide phenomenal support. This critical role relies on precise execution, superb communication and creative thinking to ensure the team has everything necessary to achieve the ambitious goals of the portfolio. Responsibilities:
Executive Support: Seamlessly providing executive level administrative support for C-Suite Leader

Calendar management: Efficiently managing and scheduling meetings, calls, and appointments, while also being proactive in ensuring they have ample time for strategic planning and important tasks related to their day to day.

Travel Management: Booking flights, hotels, and ground transportation for business trips, being adept at handling complex itineraries across different time zones.

Expense Management: Expense reconciliation and report management in a timely manner.

Relationship management: Building and maintaining relationships with key stakeholders, including venture capitalists, and entrepreneurs.

Collaboration: Partnering and collaborating with the support team on all day-to-day office activities

Meeting Support: Planning team meetings and working closely with team leaders, coordinating meetings, activities, and communications on behalf of the executives, and handling follow-up actions as needed.

Project Coordination: Supporting administrative teams across the organization on various projects.

Document preparation: Reviewing and proofreading planning documents and presentations

Special projects: Assisting with special projects as assigned.



Qualifications
Bachelor's degree or equivalent experience strongly preferred.

At least 2-3 years of executive assistant experience supporting high-level executives, specifically within the venture capital industry.

Proven ability to handle both internal and startup-related confidential information discreetly and in a diplomatic manner

Unflappable, flexible, and quick to learn and adapt to new situations as the world of startups is both innovative and fast-moving.

Extremely strong communication skills on multiple platforms and mediums (email, text, in person, video calls, etc.) used across the entire portfolio.

Tech savvy and familiar working in both Mac and MS Office operating systems, Teams, Slack, WebEx, Zoom, and PowerPoint
